The tour price generally includes chartered bus transportation, all scheduled historical site entrance fees, lodging (based on quad occupancy for students, double for chaperones), and meals as specified in the detailed itinerary. It does not include personal expenses, optional activities, pre/post-tour travel costs, or travel insurance (unless specifically added).

We require the school or district to maintain and enforce their own mandatory adult-to-student supervision ratio throughout the entire trip. While AHT guides are historical experts and trip managers, they are not substitutes for school chaperones. The Group Leader must ensure adequate supervision is maintained in all locations, including hotels and historical sites.

The Group Leader is responsible for carrying all Parent/Guardian Medical Authorization Forms and a basic First Aid kit. Our AHT guide will immediately assist the Group Leader in contacting local emergency services and the nearest medical facility. All resulting medical expenses are the responsibility of the participant's parent/guardian, not AHT.

If the school cancels the tour 30 days or more before the departure date, a full refund (minus any non-refundable deposit) is issued. Cancellations made with less notice result in only a partial or no refund, as outlined in our Terms & Conditions. We strongly recommend schools purchase travel protection insurance that covers trip interruption or participant withdrawal.

We use reputable chartered carriers and national hotel chains that comply with safety standards. During the tour, the Group Leader is responsible for establishing and enforcing curfews and room checks. The AHT guide maintains emergency contact procedures and confirms local contacts, but direct overnight supervision of students remains with the school chaperones.

Yes. For all school and youth tours, the Group Leader must sign an agreement that indemnifies and holds harmless American History Tours LLC from liability arising from the school's own negligence (e.g., failure to supervise, poor selection of third-party vendors). This confirms the school assumes responsibility for its students' conduct.

If a major event (e.g., severe weather, unexpected historical site closure) necessitates an itinerary change, AHT will make all reasonable efforts to provide an equivalent alternative activity. In cases of Force Majeure, AHT is not financially liable beyond offering a refund or credit, as specified in our T&Cs.

American History Tours LLC handles all transportation in-house. We own, operate, and maintain our entire fleet of chartered buses. AHT is responsible for securing all mandatory vehicle and commercial liability insurance for the transportation component of the tour, simplifying the insurance process for your school.

We collect sensitive medical and emergency data only for use by the Group Leader and AHT guide during the tour for emergency response. Paper copies of this data are securely stored and destroyed immediately upon the tour's completion (or returned to the school). We do not share student lists or sensitive information with third parties beyond what is required for service fulfillment.

Yes, we specialize in adapting tours. We encourage Group Leaders to communicate their specific educational outcomes and curriculum standards (e.g., AP U.S. History, specific state benchmarks) during the planning phase. Our guides will make reasonable modifications to their historical narratives to align with your needs.
